Before you get to Bear Shadow Base Camp

We thank you for your interest in Bear Shadow and the Base Camp concerts at Winfield Farm, located at 250 Winfield Farm Road, Scaly Mountain, NC.  Please know that this will not be a concert experience that is “normal” or what you are accustomed to.  We need everyone’s help in complying with rules and regulations to make this a safe experience for all and allow us to bring back live music in April.

After purchasing your COVE (tickets) and prior to your show date, we will email you with detailed information to help you prepare for your upcoming trip to Bear Shadow, including a reminder of driving directions, on site parking, car service providers and complimentary shuttle options.  There is parking onsite, but we highly encourage you to carpool with your COVE mates and have a designated driver.   We will also be offering complimentary continuous shuttles leaving from Kelsey-Hutchinson Founders Park in Highlands starting at 4pm, April 23-25th.  There will be Macon County police on site and directing traffic.

Tickets for Base Camp music must be purchased as a COVE—not as individual tickets. Upon purchasing your cove, you will receive your tickets, but will not have your cove number assignment.  Your assigned cove numbers will be emailed to you at a later date prior to your event.  COVES/tickets will be allocated based on best available at the time of purchase. When you receive your tickets, you will be able to download and email the individual tickets to the people coming with you. If each guest has their tickets separately, that will allow them to check in without the person who made the original cove purchase. We encourage you to choose your “COVE family” carefully as you’ll be in close proximity for the entire evening.

When you get to base camp

Upon arrival at Winfield Farm our staff will greet you safely in face masks and gloves. Please have your electronic or printed ticket ready for everyone in your car so they can be scanned. Staff will then ask each ticket holder a list of Covid 19 questions that all attendees are required to answer. We recommend you take your own temperature prior to arriving at Bear Shadow. After completing the questionnaire, our staff will take and document each ticket holder’s temperature. If you have a temperature greater than 100.4 degrees Fahrenheit and/or do not pass the questionnaire, you will not be allowed on the premises. We will refund you for your ticket but you will be required to leave immediately.

Face masks are required to be worn any time you’re outside of your vehicle or your cove, so please mask up before exiting your vehicle. There will be complimentary face masks available should you forget yours.  Please make your way to the main gate as soon as you are given permission by the staff for festival entry.  Bear Shadow staff will be positioned to help show you to your cove. Please help your cove family members to remember to wear their masks if they leave the cove.

If you purchased a GA COVE, please bring your own lawn/outdoor chairs/blankets for setaing.  You will need to carry your chair to your cove. VIP Coves will be provided seating.  We do not allow any firearms/weapons of any kind at Bear Shadow.  No outside food or drink is allowed.  We will pre-stock all coves with the following to minimize the need of purchasing concessions upon arrival.

ALL GENERAL ADMISSION COVES WILL ENJOY:

  • One round of complimentary Wicked Weed craft brews and bottled water for all cove members upon arrival!
  • The “BEAR BARN” will be the location of the festival bar. General Admission ticket holders have 2 options for access to the Bear Barn:
    • $12 Wicked Weed Access Pass (unlimited craft brews)
    • $40 All Access Pass (unlimited beer, wine and spirits)
    • There will be a 2 drink max per visit to the Bear Barn
  • Food vendors will be on site with a great variety of food for purchase!

ALL VIP COVES WILL ENJOY:

  • Upon arrival, VIP COVEs will be stocked with Wicked Weed craft brews and bottled water.  VIPs will have access to the exclusive VIP Bar throughout the evening, sponsored by Ugly Dog Pub for complimentary cocktails, Laurent-Perrier Champagne, and wine by Wente Vineyards, Bogle and O’Neil Vitners.  Should you wish not to leave your COVE, servers will be available to assist you with your order.
  • VIPs will enjoy complimentary small plates courtesy of the Old Edwards Inn & Spa Food Truck
  • Simple seating for all members of your cove and a table.  Guests are welcome to bring their own chairs, but the festival will provide padded folding chairs
  • Festival SWAG bags courtesy Visit Highlands, Bear Shadow and festival partners
  • Designated servers for food and beverage for duration of concert

All walking paths have ample space to allow for social distancing. Each row will be clearly labeled along the footpath and each cove will be clearly labeled with the info on your tickets. Our staff will be along the way to help you find your cove.

ONCE INSIDE YOUR COVE

Welcome to the show! Your cove is your space for the evening. You can now take your mask off and enjoy them music, but we encourage you to keep it on, if you are comfortable.  COVEs boundaries will be roped off so you don’t have to wonder where your space is or which way to enter and exit.

STAY IN YOUR COVE, unless…

We highly encourage you stay in your cove the entire evening except when you have to use the restroom, or purchase food and beverage.  Food & beverages cannot be consumed outside your cove.

Restrooms will be portolets located close to your coves.  We will have extra handwashing and sanitizing stations located with the restrooms.

When in line for restrooms or concessions, please use ground markers to help you maintain 6’ of social distance between parties.
